Rental Move-In and Move-Out Inspection Checklist

A consistent inspection record helps landlords and tenants compare the property at the beginning and end of a tenancy.

A useful inspection is specific, dated and completed with both parties present whenever possible. Start with the exterior and entrance, then move room by room in the same order at move-in and move-out. Record the condition of walls, ceilings, floors, doors, windows, coverings, lighting, outlets, closets, appliances, plumbing fixtures, heating equipment and safety devices.

Document condition, not conclusions

Use neutral descriptions such as “7 cm scratch beside bedroom door” instead of vague labels such as “damaged.” Add a photo reference beside each item and retain the original files. Record meter readings, keys, remotes and included furnishings. Both parties should review the completed record, note disagreements and retain a signed copy.

Move-out comparison

At move-out, compare each item with the original report. Separate ordinary wear from new damage and record any cleaning or repair required. Local laws may prescribe the inspection process, timing, notices and security-deposit deductions, so use the worksheet as an organizational tool rather than a substitute for the required local form.
